Director of First Impressions

Position Summary

Title:  Director of First Impressions

Location:  Clarence and Lockport Locations           

Department:  Operations

Reports to:  Operations Manager or Vice President, Operations

FLSA Status:  Non-Exempt

The Director of First Impressions is responsible for creating a positive first impression on behalf of the agency.  Serving as receptionist and point of first contact for all inquiries to the office whether via the phone or in person, the Director of First Impressions directs clients to the proper contact in a professional, accurate, and timely manner.

Essential Responsibilities:

Client Support

  • Greeting guests professionally when they enter the office and directing them to the proper person.
  • Answering and transferring incoming calls to the appropriate individual.
  • Distributing/scanning incoming mail and faxes to appropriate personnel and processing outgoing mail.
  • Completing and processing photo inspections and uploads to CARCO.
  • Setting up, printing, mailing invoices, and processing payments.
  • Creating monthly dealer reports and processing payments from dealerships.
  • Sending out letters for expiring Defensive Drivers certificates and process certificates when received.

 

Team Support

  • Handling all check requests, posting, and completing of deposits.
  • Handling cancellations off the daily download, creating cancellation letters, and adding to production.
  • Processing Personal Lines renewals in system when received.
  • Calling for MSO BOS for Personal Lines, attaching and processing when received, attaching to Companies where required.
  • Running Motor Vehicle Reports with DMV.
  • Invoicing and reconciling producer direct bill commissions.
  • Ensuring supplies are stocked in office.
  • Process Commercial Lines Non-Payment Notices and Reinstatements. Send letters when cancelled for non-payment.
  • Tracking of referral and cold calls to make sure new business is handled in a timely manner.
  • Sending out client birthday cards.

Other Responsibilities/Duties:

  • Assisting Director of Operations with Accounting Duties.
  • Any other duties as assigned by Management.
  • Keep the front area and other common areas of the office themed for the seasons, tidy, and presenting professionalism to our guests. (ie: fall décor, windows clean of fingerprints, chairs pushed in, etc.)

Qualifications, Skills and Abilities Required:

  • High School Diploma or general education degree (GED) required.
  • Supportive and collaborative work style.
  • Team orientation.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to calculate figures and amounts such as discounts, interest, commission, and percentages.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Knowledge of Microsoft Word, Excel, internet software, and database applications.

Physical Requirements:

While performing the duties of this job, the employee is regularly required to sit; use hand and talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms; climb or balance and stoop, kneel, crouch, or crawl.
